Having a customer information template is a beneficial tool for businesses because it allows companies to maximize sales. The template can include a great deal of information, which enables your organization to stay on top of the job and to connect with various customers.

The most basic customer information template asks for contact information, including the customer’s name, phone number, address, fax number, website, social networking site, and any additional comments. It's important to remember to include a section that inquires about the nature of business. You can list a few options the customer can circle, but always leave a blank space marked “other” so the customer can specify a business that falls beyond the boundaries of what is listed.

Another positive remark to add on a customer information template is the question, “How did you hear about us?” This is crucial, easy feedback for your company that can let you know how word is spreading. You can find out if any local advertisements were successful in bringing in new customers to your door, if that weekly blog is paying off, or if your presence at a trade show was well worth the effort. Make sure that you list all possibilities of how customers may have heard of your business, including a listing in the phone book or online. Knowing how customers find your business is crucial in understanding how to proceed with advertising in the future to acquire new users.

A customer information template should also include a space for a tax ID# or resale certificate, if the nature of your business is such that customers will have this type of information. You should offer a fax number the customer can use to submit the information, or provide this sheet electronically online at the company’s website. If you would like even more feedback, ask a couple of simple questions at the end of the template, such as, “Has a sales rep been in touch with you?” or “Would you like to receive information about new products and services via email?”

Always include the company’s name, address, and contact information on any customer information template, in print or online, and make any company logos and colors prominent to further develop your brand.
